REGISTRAR

The incumbent is expected to be well versed with the Higher Educational System of the country. In the initial stage, the responsibilities will be broadly as follows:

Role and Responsibilities

  1. Detailed work plan for the University project.
  2. To assist the management in the appointment of consultants, architects and other agencies.
  3. To coordinate with various agencies for proper project scheduling and monitoring.
  4. To work in close association with PMC, architects and engineers to ensure that all approvals are in place and project time-lines are followed.
  5. To prepare MIS for the management as required.
  6. To monitor the cash flow projections along with the finance team to ensure strict compliances and funds flow for the project.
  7. To ensure that the project deliverables are on time, within the budget and of the requisite quality.
  8. Maintain all records for future reference and inspection.
  9. Coordinating with local bodies, whenever needed.
  10. To co-ordinate with the State Government and ensure that all stipulations of the private University Act are complied with.
  11. Participate in all the Institutional and college (DGMC) development work / activities as entrusted.
  12. To carry out staffing functions for the University.
  13. Perform all other tasks as may be required in a newly established University.
  14. Perform all the functions associated with the job of the Registrar like statutory compliances, functions as stipulated in the self-financed University Act and such other functions as may be entrusted by the Management.
  15. To be custodian of all records and to provide back up for all records, serve as secretary of various bodies and be responsible for the conduct of all meetings and their records including agenda, Minutes of the Meeting etc.
  16. Staff discipline and grievance handling.
  17. To develop and administer University budgets.

Qualification:

Essential: Master's Degree in any discipline with at least 55% marks or its equivalent grade 'B' in the UGC 7 point out scale from a recognized University / Institute.

Experience: At least 15 years of administrative experience in a University or Educational Institute out of which at least 5 years should be in position equivalent to that of a Deputy Registrar.

Desirable:

  1. Qualification in Law / Management.
  2. Experience in handling computerized administration / new Institution development.

Age:

Up to 55 years. Relax able in exceptional cases.

Remuneration: At par with the industry standards and will not be a constraint.

EXECUTIVE SECRETARY

Role and Responsibilities

  • Maintain DG's agenda and assist in planning appointments, board meetings, conferences etc.
  • Attend meetings and keep minutes, where necessary
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Make travel arrangements for DG
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned

Requirements

Proven experience as executive secretary or similar administrative role, at least for 5 years preferably in the field of education.

    1. Proficient in MS Office and "back-office" software (e.g. ERP)
    2. In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of the education system
    3. Familiarity with basic research methods and reporting techniques
    4. Excellent organizational and time-management skills
    5. Outstanding communication and negotiation abilities
    6. Independently capable to prepare drafts of letters and notes.
    7. Integrity and confidentiality

Age:

Preferably below 40 years

Qualification: Graduate in any discipline. Post graduate degree/diploma in Management preferred.

Place of Residence:

Residing, preferably, in the western suburbs.
